Terms and Conditions

1. Parties
These Terms and Conditions govern the relationship between NordicPoland, owned and operated by Søren Christensen, Puławska 12/3, 02-566 Warsaw, Poland, NIP: 7010178625 ("NordicPoland") and the client or member ("Client") purchasing services or a community membership via nordicpoland.com.
2. Services
NordicPoland provides business advisory, lead generation, market entry support, cultural consultancy, sourcing, workshops, lectures, webinars, retreats, relocation advice, and community membership as described on this website. The specific scope, deliverables, and timelines are agreed in writing before each engagement begins.
3. Written Contracts
All consulting services, workshops, lectures, webinars, retreats, and business tools engagements are formalised through a written contract agreed between NordicPoland and the Client before work begins. Contracts are issued in English and in Polish. Community membership and lead generation subscriptions ordered directly via the pricing page are exempt from this requirement, as the Client accepts these Terms and Conditions at the point of purchase.
4. Pricing and VAT
All prices are listed in EUR and are exclusive of VAT unless stated otherwise. The applicable VAT rate will be added at checkout where required. NordicPoland reserves the right to update prices at any time. The price at the time of purchase applies.
Current subscription tiers monthly and annual pricing (annual billing saves approximately 20%):
- Community: 19 €/month or 180 €/year (15 €/month)
- Starter: 79 €/month or 756 €/year (63 €/month) includes 10 verified leads per month
- Growth: 149 €/month or 1.428 €/year (119 €/month) includes 25 verified leads per month
- Pro: 249 €/month or 2.388 €/year (199 €/month) includes 50 verified leads per month
5. Payment
Subscriptions (Community, Starter, Growth, Pro) are billed monthly or annually in advance and processed via Stripe. Subscriptions renew automatically until cancelled.
Consulting services and business tools are invoiced directly. Payment terms are 50% upfront before work begins and 50% upon completion and delivery. Bank transfer is the standard payment method for invoiced services. Invoices are issued in EUR.
6. Lead Generation
Lead lists are delivered in Excel format within the agreed delivery time. Standard delivery is 3 to 5 business days. Express delivery within 48 hours is available at an additional fee. All leads are manually verified before delivery and are exclusive to the Client. They will not be shared with or resold to third parties. NordicPoland does not guarantee specific conversion rates or business outcomes from delivered leads.
Before or immediately after ordering, the Client must send a detailed brief to info@nordicpoland.com specifying the requirements for the lead list. This includes, but is not limited to, target country or region, industry, company type such as agent, webshop, webshop with physical stores, manufacturer or distributor, company size, and decision-maker role. NordicPoland will not commence work until a sufficient brief has been received and confirmed in writing. If the brief is unclear or insufficient, NordicPoland will request clarification before proceeding.
7. Revisions and Refunds
One revision is included with every deliverable. NordicPoland takes quality seriously and always delivers according to the agreed brief. Refunds are not offered. In exceptional cases where NordicPoland has been unable to deliver at all, compensation may be discussed in writing via info@nordicpoland.com.
8. Community Membership
Community membership is personal and individual. A business page or profile cannot become a member of the community. It cannot be transferred to another person. Membership is billed monthly or annually via Stripe and can be cancelled at any time with effect from the next billing period. No refunds are issued for the current billing period upon cancellation.
When ordering, the Client must use the same name in Stripe as on their Facebook profile so that NordicPoland can verify and approve the membership request.
Members are expected to behave in a respectful and professional manner in accordance with the group rules. If a member does not follow the group rules, NordicPoland reserves the right to remove the member from the community and/or block them from future access. In such cases, the subscription will be cancelled by NordicPoland with immediate effect and no refunds will be issued for any previous payments made.
9. Business tools
Business tools are digital products and services available for purchase on the business tools page. Tools include, but are not limited to, freight cost calculators, market entry reports, and tailor-made tools developed on request. Each tool is described in detail on the business tools page, including what is included, delivery format, and pricing. Business tools are invoiced directly and are subject to a written agreement as described in section 3. One revision is included. NordicPoland does not guarantee specific business outcomes from the use of any tool.
Current pricing for custom business tools:
- One-time build, Client hosts and maintains: From 2,000 €
- Build and maintain, Client hosts: From 1,500 € setup + 350 €/month
- Build, NordicPoland hosts and maintains: From 1,800 € setup + 500 €/month
All prices exclude VAT. EU reverse charge applies for registered EU companies. Polish companies are subject to 23% Polish VAT. Payment is 50% upfront and 50% upon delivery. For build and maintain plans, the monthly agreement can be cancelled after the first month. A written contract is always prepared before work begins.
If you choose the one-time build option, you own the tool outright after full payment. If you start with a one-time build and later want NordicPoland to take over hosting and maintenance, this is possible but may require an additional monthly fee. If you choose a build and maintain plan, NordicPoland retains the hosting and maintenance, but you can always request a copy of the code. If you wish to take over yourself, the full code and documentation will be handed over.

A 10% discount is available on business tools for Clients who display a visible, active, and do-follow link to nordicpoland.com on their website or webshop, for example in the footer or on a partners page. The discount applies for as long as the link remains active. If the link is removed or changed to no-follow, the discount is withdrawn with immediate effect and the Client will be invoiced for the remaining 10% of the original price. This arrangement must be confirmed in writing before the discount is applied.
10. Consulting and Advisory
Consulting and advisory services are billed at an agreed rate or fixed project fee confirmed in writing before work begins. Payment is 50% upfront and 50% upon completion. NordicPoland will not commence work until the upfront payment has been received.
Consulting and advisory services can be delivered online or in person. In-person sessions are subject to a higher rate due to travel and other associated costs. The format and applicable rate will be agreed in writing before the session takes place.
For in-person representation, meetings, supplier visits, trade shows, or site visits in Poland, the Nordic countries, or elsewhere, NordicPoland's fee plus travel and other expenses apply. 50% is required upfront before any travel or representation is carried out.
Introductory calls of up to 15 to 20 minutes are offered at no charge. Further calls and advisory sessions are subject to a fee.
11. Workshops, Lectures, Webinars and Retreats
Workshops, lectures, webinars, and retreats are subject to the following conditions. The format, date, location, and price are agreed in writing before the event takes place. Payment is 50% upfront and 50% no later than 7 days before the event. If the Client cancels more than 14 days before the event, the 50% upfront payment is non-refundable. If the Client cancels within 14 days of the event, the full amount is due. If NordicPoland cancels due to illness or force majeure, the Client will be offered a new date or a full refund. A minimum number of participants may apply for certain events and will be stated in the written agreement. For in-person events, travel and other expenses are charged in addition to the agreed fee and will be specified in the written agreement. 50% of the total estimated expenses are required upfront before any travel is booked.
12. Late Payment
If the Client fails to pay the remaining 50% upon completion, NordicPoland reserves the right to withhold delivery of the final deliverable until full payment has been received. If payment is not received within 14 days of the due date, the Client will receive a written warning. If payment is still not received after the warning, NordicPoland reserves the right to pursue recovery through legal means and, where possible, to reclaim the delivered product or service. Interest on overdue payments may be charged in accordance with Polish law.
13. Cancellation of Project
If the Client cancels a project after a contract has been signed, the 50% upfront payment is non-refundable as it covers planning, preparation, and reserved capacity. If work has already commenced, the Client will be invoiced for the proportion of work completed at the time of cancellation. NordicPoland reserves the right to assess this on a case by case basis.
14. Scope of Work
The agreed scope of work is defined in the written contract or written agreement by email. If the Client requests additional work, features, or deliverables beyond the agreed scope, this will be treated as a new engagement. Both parties must confirm the new scope and the additional price in writing before any out-of-scope work begins. If both parties have agreed in writing, the Client must pay 50% of the additional amount upfront before NordicPoland commences the extra work.
15. Intellectual Property
All deliverables produced by NordicPoland become the Client's property upon full payment. NordicPoland retains the right to reference the type of engagement for general promotional purposes, unless the Client requests otherwise in writing.
16. Testimonials and References
NordicPoland may reference the type of engagement and the general outcome for promotional purposes, for example on the website or on LinkedIn. The Client's name, logo, website link, or specific details will not be used without prior written consent. If the Client is willing to provide a testimonial or act as a reference, this must be agreed in writing and can be withdrawn at any time upon written request. A link to the Client's website may be included where relevant and with the Client's consent.
17. Force Majeure
NordicPoland shall not be held liable for delays or failure to deliver caused by circumstances beyond reasonable control, including but not limited to illness, technical failures, natural disasters, or other force majeure events. This includes disruptions or failures caused by third-party services such as Stripe or other payment providers used by NordicPoland. In such cases, NordicPoland will notify the Client as soon as possible and arrange an alternative payment method where feasible.
18. Communication and Agreements
Communication between NordicPoland and the Client may take place by email, telephone, or in person. However, any agreement regarding a collaboration or engagement of any kind must be confirmed in writing and signed or acknowledged by all parties before it is considered binding. Verbal agreements are not binding.
19. Confidentiality
All client information, briefs, and project details are treated as strictly confidential. NordicPoland does not share client data with third parties without explicit consent. NordicPoland is happy to sign a non-disclosure agreement before any project discussions begin.
20. GDPR and Data
NordicPoland processes personal data in accordance with GDPR. Lead lists are built using publicly available and lawfully sourced data. Client data is not sold, resold, or shared with third parties. For questions about data processing, contact info@nordicpoland.com.
Upon completion of a project or termination of a subscription, NordicPoland will retain Client data for up to 3 years for general records and up to 5 years for invoicing and accounting purposes, in accordance with Polish law. After these periods, data will be securely deleted. The Client may request deletion of their personal data at any time by contacting info@nordicpoland.com, subject to any legal retention obligations.
21. Limitation of Liability
NordicPoland's liability is limited to the amount paid by the Client for the specific service in question. NordicPoland is not liable for indirect losses, loss of profit, or business outcomes resulting from the use of any service or deliverable.
22. Acceptable Use
Clients may not use any deliverable, lead list, business tool, or service provided by NordicPoland for unlawful purposes, unsolicited mass communication (spam), or misleading marketing. NordicPoland reserves the right to terminate a collaboration with immediate effect if this condition is breached, without any obligation to issue a refund.
23. Complaints
If the Client has a complaint regarding a service or deliverable, such as a lead list or business tool, this must be submitted in writing to info@nordicpoland.com within 14 days of receiving it. NordicPoland will respond within 5 business days. Complaints submitted after this period will not be considered.
24. Price Changes
NordicPoland reserves the right to change prices at any time. For subscription Clients, changes will be communicated by email at least 30 days before they take effect. Continued use of the subscription after the effective date constitutes acceptance of the new price. If the Client does not accept the new price, they may cancel before the change takes effect. For all other services, the price agreed in writing at the time of the contract applies and will not be changed during the agreed engagement.
25. Governing Law
These Terms and Conditions are governed by Polish law. Any disputes shall be subject to the jurisdiction of the competent courts in Warsaw, Poland.
26. Changes to These Terms
NordicPoland reserves the right to update these Terms and Conditions at any time. The current version is always published on this website. Continued use of NordicPoland's services after an update constitutes acceptance of the revised terms.
